Please read these Terms & Conditions carefully before using Subz HQ.
These Terms & Conditions (“Terms”) govern your access to and use of the Subz HQ mobile application, website, and related services (the “Service”), operated by Subz HQ (“Subz HQ”, “we”, “us”, or “our”).
By creating an account or using the Service, you agree to these Terms. If you do not agree, do not use the Service.
We may update these Terms from time to time. If we make material changes, we will update the effective date and may provide notice in the Service. Continued use after changes take effect means you accept the updated Terms.
1. What Subz HQ is
Subz HQ is a club and team management platform. Depending on your role and plan, features may include:
- team and club membership management
- messaging and group chats
- schedules, events, and availability / RSVPs
- payments, charges, fines, and related club payment workflows
- club shop / ordering tools
- club news, forms, and shared files
- parent/guardian tools for linked children’s accounts
- notifications and reminders
We may add, change, suspend, or remove features at any time. Where practical, we will give reasonable notice of significant changes.
2. Eligibility and accounts
Age and authority
- You must be able to enter a binding agreement under applicable law.
- If you are under 18, you may only use the Service with appropriate parental or guardian consent where required.
- Parents/guardians who create or manage child accounts confirm they have authority to do so and to provide the child’s information.
Account registration
You agree to:
- provide accurate, complete, and up-to-date information
- keep your login details confidential
- not share your account except where the Service expressly supports linked/managed accounts
- notify us promptly of unauthorised access or security concerns
You are responsible for activity that occurs under your account, except where caused by our failure to exercise reasonable care.
We may refuse registration, or suspend or terminate accounts that appear fraudulent, abusive, insecure, or in breach of these Terms.
3. Roles, teams, and clubs
Subz HQ supports different roles (for example owner, admin, coach, manager, member, parent/guardian).
- Club/team staff are responsible for how they manage their club, members, content, and communications.
- You must only add people to teams/groups if you are authorised to do so.
- Members may receive notifications related to club/team activity.
- We may remove teams, groups, content, or accounts that breach these Terms or create legal/safety risk.
Ownership and admin rights may include the ability to manage members, payments, shop settings, schedules, and other club data — including exporting membership, attendance/availability history, payment statements, and similar club-operations records for legitimate club purposes. Staff should use those powers responsibly and lawfully, and only share exports with people who are authorised to receive them.
4. Children and guardian accounts
Where the Service allows linked children’s accounts:
- parents/guardians are responsible for the information they submit about a child
- managed child accounts are intended for club participation under guardian/staff oversight
- guardians may be able to perform actions on behalf of a linked child (for example RSVPs, payments, forms, or shop-related actions where enabled)
- if multiple guardians are linked, each remains responsible for their own use of the Service
You must not use children’s features to collect or share children’s information unlawfully.
5. Acceptable use
You agree not to:
- harass, threaten, abuse, bully, or impersonate others
- post illegal, harmful, discriminatory, sexually explicit involving minors, or otherwise offensive content
- upload malware or attempt to disrupt or hack the Service
- spam, scrape, or misuse messaging/notifications
- infringe intellectual property, privacy, or other legal rights of any person
- upload or share content you do not have the right to use (including copyrighted photos, logos, music, or videos without permission)
- misuse payments, shop, or membership features
- attempt to bypass security, role permissions, or account restrictions
- use the Service in breach of applicable law
We may remove content, restrict features, or suspend/terminate accounts for violations, with or without prior notice where we reasonably consider it necessary.
6. User content
“User Content” means content you (or someone using your account) submit to the Service, including messages, photos, images, files, club badges, news posts, form answers, shop notes, lineup graphics, and similar material.
Your promises
- You retain ownership of your User Content where applicable.
- You represent and warrant that you own the User Content or have all rights, licences, and permissions needed to upload it and to grant the licence below.
- You represent and warrant that your User Content does not infringe copyright, trademark, privacy, or other rights, and is not unlawful.
- You are solely responsible for your User Content and for any consequences of sharing it.
Licence to Subz HQ
You grant Subz HQ a worldwide, non-exclusive, royalty-free licence to host, store, process, display, transmit, and otherwise use User Content solely as needed to operate, secure, and improve the Service (including backups, moderation, and displaying content to authorised club/team members).
Visibility
Content shared in a team/club may be visible to other authorised members or staff according to permissions and roles in the Service.
Moderation and removal
We may (but are not obliged to) review, remove, disable, or restrict User Content that:
- violates these Terms
- appears unlawful or infringing
- creates safety, safeguarding, or legal risk
- is the subject of a complaint we reasonably believe requires action
Club/team staff with appropriate permissions may also remove or moderate certain club content (for example news posts or chat, where the product allows). That does not limit our right to act.
We may suspend or terminate accounts that repeatedly or seriously breach these Terms, including for copyright or other intellectual-property violations.
7. Copyright and illegal content reports (notice and takedown)
If you believe content on the Service infringes your copyright or other intellectual-property rights, or is otherwise unlawful, please notify us promptly.
How to report

Subject line: Content report, Copyright complaint, or Safety report
Please include, where possible:
- Your name and contact email
- A description of the content and where it appears in the Service (club/team name, screen, approximate date/time, or a screenshot)
- Why you believe it is infringing or unlawful
- A statement that you have a good-faith belief the use is not authorised
- For copyright claims: a statement that the information is accurate and that you are the owner or authorised to act for the owner
What we do
- We will review reports in good faith and may remove, disable, or restrict content while we assess the issue.
- We may notify the uploading user and/or relevant club staff.
- We may ask for more information before acting.
- We are not obliged to take down content solely because a complaint is made, but we aim to act quickly on clear, credible reports.
Counter-notice
If your content was removed and you believe that was a mistake, email support@subzhq.com with an explanation. We may restore content where appropriate.
Repeat infringement
We may suspend or terminate accounts of users who repeatedly upload infringing or unlawful content.
This process is designed for the UK and our Service generally. It is not a US DMCA agent registration, but we follow a similar notice-and-action approach. You can also contact us via in-app Support where available.
8. Messaging and communications
The Service may include squad/club chat and may send:
- in-app notifications
- push notifications
- email communications related to your account or club activity
User-generated messages
- Messages and similar content are created by users, not by Subz HQ.
- We do not pre-screen or continuously moderate all messages or posts.
- You must not harass, threaten, abuse, bully, or share illegal or harmful content.
- Club/team staff with appropriate permissions may remove or restrict certain club content where the product allows.
- We may remove content, restrict features, or suspend/terminate accounts that breach these Terms or create safety/legal risk.
How to report abusive or unsafe content
Email support@subzhq.com with subject Safety report or Content report, or use in-app Support (category Safety / Content) and include club/team context, approximate time, and a screenshot where possible. We review reports in good faith but do not guarantee a particular outcome or response time.
Delivery of notifications is not guaranteed and may depend on device settings, network providers, and third-party services.
You can usually manage notification preferences in the app and/or device settings. Transactional messages necessary to operate your account or club (for example security, payment, or account notices) may still be sent where appropriate.
Some features may open third-party apps (for example email, maps, or messaging apps). Those apps are governed by their own terms.
9. Payments and fees
Club payments (Stripe Connect)
- Clubs (or squads, depending on setup) may use Subz HQ to request or collect payments such as membership fees, charges, fines, shop-related payments, or other amounts configured by club staff.
- Card payments are collected by the club/squad via Stripe Connect. Subz HQ provides the software tools; we are not the merchant of record for club fees, fines, or shop orders, and we are not the club’s bank.
- Money from card payments is paid out to the club’s (or squad’s) connected Stripe account, subject to Stripe’s processes, reserves, and fees, and any Subz HQ platform fee disclosed in product.
- Clubs are responsible for completing Stripe Connect onboarding accurately, complying with Stripe’s terms and prohibited-business rules, and handling tax, accounting, and record-keeping for amounts they collect.
- Club staff are responsible for the accuracy of charges, fines, shop prices, and related obligations to members and parents.
- We do not store full card details. Card data is handled by Stripe.
- You must comply with the payment provider’s terms.
Platform fees
Basic use of Subz HQ may be free. We may introduce or change platform subscription fees, usage fees, or payment-related service fees. Where fees apply, they will be described at the relevant point of purchase or in-product notice.
You are responsible for your own device, data, and third-party charges.
Refunds and disputes
- Subz HQ does not guarantee refunds of club fees, fines, or shop purchases.
- Refunds, chargebacks, and payment disputes for club amounts are generally a matter between the payer, the club/team, and Stripe, except where required by law or expressly stated by us for a Subz HQ platform fee.
- Payment failures, bank declines, Stripe holds/reserves, or processor outages may be outside our control.
10. Shop and ordering
Where club shop features are enabled:
- product details, stock, pricing, tax treatment, and fulfilment are managed by the relevant club/staff
- orders, notes, and collection arrangements may be visible to authorised staff
- Subz HQ provides tooling; clubs remain responsible for product descriptions, fulfilment, customer service, and any refunds related to their shop
11. Privacy
Your use of the Service is also governed by our Privacy Policy. Please read it carefully.
12. Account deletion and termination
By you
You may delete your account through the app (typically via Profile → Delete Account), subject to any in-product constraints.
In particular, if you are the owner of a team that still has other members, you may need to transfer ownership or remove members before deletion can complete.
By us
We may suspend or terminate access if you breach these Terms, create risk, fail to pay applicable fees (where relevant), or if we discontinue the Service.
Effect of termination
Upon termination or deletion, your access ends and associated data may be deleted or anonymised in line with our Privacy Policy, except where retention is required by law or for legitimate business records (for example payment records).
13. Intellectual property
The Service, including software, design, branding, logos, and Subz HQ content, is owned by Subz HQ or its licensors.
You may not copy, modify, distribute, sell, reverse engineer, or create derivative works from the Service except as expressly allowed by law or with our prior written permission.
Club names, badges, and other club materials remain the responsibility of the relevant club/users, subject to Section 6.
14. Third-party services and links
The Service depends on third parties (including hosting/authentication providers, Stripe, and push notification providers) and may link to or open third-party services.
We are not responsible for third-party content, availability, or practices. Your use of third-party services is at your own risk and subject to their terms.
15. Service availability and disclaimer
The Service is provided on an “as is” and “as available” basis.
To the maximum extent permitted by law, we do not guarantee that the Service will be uninterrupted, timely, secure, or error-free, or that content will always be available or accurate.
Club-managed information (for example schedules, fees, shop stock, or news) is provided by users/clubs; we are not responsible for its accuracy unless required by law.
16. Limitation of liability
Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law (including liability for death or personal injury caused by negligence, or for fraud).
Subject to that, to the maximum extent permitted by law Subz HQ is not liable for:
- loss of profits, revenue, business, goodwill, or opportunity
- loss or corruption of data
- indirect or consequential loss
- service interruptions, delays, or third-party failures
- unauthorised access arising from compromised credentials or user device insecurity
- content or conduct of other users or clubs (including User Content)
- club payment/shop disputes between members and clubs
- intellectual-property claims arising from User Content uploaded by users or clubs
Our total aggregate liability arising out of or relating to the Service in any 12-month period will not exceed the greater of: (a) the amounts you paid to Subz HQ for the Service in that period (if any); or (b) £100.
17. Indemnity
You agree to indemnify and hold Subz HQ harmless from claims, losses, damages, and reasonable costs arising from:
- your misuse of the Service
- your breach of these Terms
- your User Content (including alleged copyright or other IP infringement)
- your management of a club/team (if you are staff)
- your provision or handling of children’s information without authority
18. Changes to the Service
We may update, improve, or discontinue features. Where changes materially reduce paid functionality you purchased directly from us, we will handle that in line with applicable law and any specific purchase terms.
19. Governing law and disputes
These Terms are governed by the laws of England and Wales.
Courts of England and Wales have exclusive jurisdiction, except that if you are a consumer resident elsewhere in the UK you may also bring proceedings in your local courts where the law allows.
20. General
- If any provision is invalid, the remaining provisions remain in force.
- These Terms, together with the Privacy Policy and any applicable in-product purchase terms, are the entire agreement between you and Subz HQ regarding the Service.
- Our failure to enforce a provision is not a waiver.
- You may not assign these Terms without our consent; we may assign them in connection with a reorganisation, sale, or similar transaction.
